Overview

Custom Email & SMS Notifications lets you create reusable message templates and send one-off or bulk email and SMS messages to clients, leads, or staff — triggered manually or from within CRM workflows. It supplements the system's automatic notifications with ad-hoc and template-driven outreach.

Business value

Gives staff a quick way to send professional, branded messages without leaving the CRM and without needing a separate email marketing tool for transactional or ad-hoc sends.

Key concepts

Concept Description
Template A saved email or SMS with subject, body, and merge fields — reusable across sends
Merge fields Dynamic placeholders (e.g. {client_name}, {invoice_number}) substituted at send time
Send A one-time or bulk delivery of a message to selected recipients
Channel Email or SMS; configured per template and send

Common actions

  1. Create template — write the message content, set the channel (email/SMS), and add merge fields.
  2. Edit template — update subject line, body, or merge field mappings.
  3. Send message — select a template, choose recipients (clients, leads, or staff), and send.
  4. Bulk send — select multiple recipients from a filtered list and send in one action.
  5. Manage templates — view, edit, duplicate, or archive templates at /admin/email_sms/templates.
  6. Permissions — access to sending is controlled per staff role.
