Overview
Vendors are your suppliers: identity, contact, payment terms, default currency, banking details.
Business value
The supplier master — identity, payment terms, default currency, banking details, contacts. The procurement counterpart of the client master.
- Who uses it: Procurement, finance, accounts payable
- Key benefit: Negotiate better terms and pay vendors accurately by centralising every supplier relationship.
Typical use cases:
- Onboard a new vendor with all compliance documents attached
- Run vendor performance reports (on-time delivery, defect rate)
- Consolidate spend per vendor for negotiation leverage

Accessing this module
From the admin sidebar, navigate to Vendors, or open the URL directly:
/admin/purchase/vendors
List view
The list view shows existing vendors records. Use it to search, filter, sort, and bulk-act on items.
Common actions
- View existing records — open Vendors from the sidebar to see the list view.
- Search and filter — use the search box and column filters to find records.
- Create a new record — click the Add / New button (or follow the "Create" URL above) and fill in the required fields.
- Edit a record — click a row to open the detail view, then use the edit action.
- Delete a record — use the row's delete action; deletion may be soft or hard depending on the module.
- Bulk operations — select multiple rows via the checkboxes and apply a bulk action from the toolbar (export, delete, status change, etc., where supported).
Deleting a vendor breaks all references in existing Purchase Orders, Vendor Invoices, and Debit Notes linked to that vendor. Deactivate vendors you no longer use instead — historical documents remain intact and searchable.
Attach compliance documents (certificates, contracts, insurance) directly to the vendor record — this keeps due-diligence material in one place and accessible during audits without hunting through shared drives.
API
This module is available via the REST API.
Authentication. All API requests require the header authtoken: <token> (generate one at /admin/api/api_management).
